QUESTION:

We continue to get messages that we have exceeded out user licenses. This occurs because users end up in PR-Tracker twice. Once with first name, last name , and once with last name, first name. Although I am convinced that users are adding themselves in duplicate, I cannot determine why this is happening. Only two staff members have the authority to add users.

If you .ini file has a different name than the name registered in PR-Tracker, does PR-Tracker auto enter the name in the .ini file as a user?

ANSWER:

No. When a person installs PR-Tracker on their system, the setup program prompts them for their name. That name is entered into the PR-Tracker user list. For this reason, we recommend adding users with First name first. I suspect the you are adding users with last name first and that people are installing with first name first.

QUESTION:

The most recent error message we received is that "this license violation has continued for 353 transactions, You have 47 transactions to comply. What happens when we exceed the 47 transactions. Will we lose data?

ANSWER:

No data will be lost, however, the Save command on the Problem Report menu will no longer work.

QUESTION:

Also, if a employee leaves, and I delete their name form pr-tracker and add the new employee who replaced the departing employee will I lose the history of references to what the departing employee has worked on. If after an employee leaves, can I get a list of what this employee worked on if they are no longer a user? Do I need a license for an employee that is no longer with us?

ANSWER:

If you delete the name it will no longer be listed in drop down combo boxes, but no saved data will be lost. You will need to type the name into the combo boxes instead of selecting them from the drop downlists.

I would keep the former employees name in the user list until all open problem assigned that person have been reassigned to someone else.
